Take the Fast Track with Microsoft Word

 

Almost everyone with a computer uses Microsoft Word, but it's so packed with features, even those who use it for hours every day may not know all the things it can do.

Combining Documents

Did you ever have multiple documents you wanted to turn into one document? You could just copy and paste from each of them into a new one, but this is a slow and awkward method. Try this way instead:

  1. Open a document you want to use to hold all your combined documents. It can be a new document or one that already exists.
  2. Select the "INSERT" tab on the ribbon.
  3. Find the "Object" button and click on the small arrow to select "Text from File."
  4. Select one or more Word documents (you can select as many as you need within the same directory).
  5. Click "Insert" in the bottom right of the dialog box.
  6. All the articles you selected are now in the main document.

Comparing Different Versions

Word has a very useful and sophisticated tracking feature that allows you to automatically highlight changes in a document as you make them. It's great for when you ask a colleague or supervisor to mark up a document you created—you can easily see the changes made.

But not everyone uses it. If someone just changes your document and hands it back to you, saying she made some changes, how can you tell what was changed?

It's easy to compare documents and highlight the changes, even if the person who made the changes didn't turn on the track changes function:

  1. Save the revised document to your drive, then make sure both the original and new documents are closed.
  2. Open a new document.
  3. Choose the "REVIEW" tab on the ribbon.
  4. Click on the "Compare" button and select "Compare."
  5. A dialog box opens allowing you to select both the original and new documents.
  6. Press "OK" when done. A fresh version of your original article now has all the changes highlighted. Save it under a new name to keep a record of the changes.
